This general notice regarding the processing of personal data (hereafter 'Privacy Notice') governs the processing by TimmerHaus (hereafter ‘TimmerHaus’, 'we', 'us', 'our') of your personal data that is collected when you visit our websites or when you contact us via our websites, by email, by telephone or via social media.

In this Privacy Notice, references to TimmerHaus, 'we', 'us' and 'our' pertain to the following entity: TimmerHaus BV, Provenierstersstraat 41, 9000 Ghent, Belgium with company registration number BE 0838.972.497

TimmerHaus is committed to respecting your privacy. This policy describes how the personal data provided to us are stored and processed. We take the protection of your personal data very seriously and this is how we comply to the most recent EU regulation on data privacy (commonly known as the General Data Protection Regulation (GDPR). We do not sell personal data about anyone for any purpose.

What data do we collect?

TimmerHaus collects the following data:

  • Personal identification information: your name, first name, e-mail address, phone number.

  • In case of an Assessment or Development Center, your CV is collected in some cases. We always ask you for your CV, we never ask your employer.

  • In case of individual coaching and in some cases of assessments, it is possible that the coachee or assessee informs us about sensitive personal information, which will be included in the notes of the coach.

How we collect your data?

You directly provide TimmerHaus with most of the data we collect. We collect data and process data when you:

  • Voluntarily complete a personality questionnaire or 360 multirater tool.

  • Provide feedback in a written document or via email.

  • Use or view our website via your browser’s cookies.

TimmerHaus may also receive your data indirectly from the following sources:

  • Staff in the HR department.

  • Staff in the Learning & Development department.

  • Staff in the Talent Management department.

  • Board of Directors, Senior Managers or Executive Committee members, Family Board.

  • Executive Search companies.

How will we use your data?

Our Company collects your data so that we can take different actions depending on the activity you are taking part in.

In the list below you will find a description of all the possible activities we do that concern the storage and processing of your personal data.

• Assessment Centre (AC) and Development Centre (DC):
We collect your data in order to be able to contact you and make arrangements for the activity. Following an AC or a DC a report is written with the findings of the Centre by the lead and or co-assessor and stored on our secure DropBox cloud server. To share and download the report with our contact person at the client and you, we will upload the report to ShareFile and give you access.

The report will first be sent to the client (authorised contact), and when an agreement about further actions have been made based on the report, you will get access to the report too. The files will automatically be deleted 183 days after they are uploaded.

• Coaching sessions:
We collect your data in order to be able to contact you and make arrangements for the activity. If the coach receives sensitive personal information about or from you, this information will be collected and stored in alignment with the controller’s responsibility to collect the minimum amount of information, safeguarding the information with a password, and access to the data only being given to the parties that have been agreed to by the data subject.

• Towers Watson Software Limited:
We collect your data to register you to personality questionnaires and reasoning ability tests that are on their Oasys platform and to receive e-mails from the platform that invites you to fill out the online questionnaires.

When you filled out a questionnaire, a report is created and we download the report from their servers and save it on our secure DropBox cloud server.

• Hogan Assessments:
We collect your data to register you to personality questionnaires and reasonability tests that are on their HALO platform and to receive e-mails from the platform that invites you to fill out the online questionnaires. When you have filled out questionnaire, a report is created and will be sent my email to us, which we save on our secure DropBox cloud server.

• Team leader:
We collect your data from our clients to be able to contact you again, according to the type of information you have expressed written consent to receive. Teamleader acts both as a controller and processor of data. To find out how Teamleader complies with the GDPR and how they store and process your personal data and what you can do to contact them, click here. When we get your contact information as either potential client or client, we will ask you in writing, whether we can save your personal information on Teamleader. You are at any time free to ask us to delete your information.

• TimmerHaus freelance Consultants:
These are professional consultants that work for TimmerHaus on a freelance basis. They only receive your personal data when strictly necessary. This is when they are part of an activity (for example a training session, a coaching, or a development/assessment center) where one of the above sub-processors is used. They will receive your data and reports through a secure link and have a signed agreement with Axiom CP Europe on how to store your personal data compliant with the GDPR.

• TimmerHaus partners and consultants:
They are the TimmerHaus owners and people on the TimmerHaus payroll. The owners are responsible for complying to the GDPR by issuing this privacy policy and the consultant agrees to this policy by an addendum to the contract.

How do we store your data?

All personal data shared with TimmerHaus by its clients and participants of activities are stored on the secure cloudbased DropBox server used by TimmerHaus. Read more about DropBox privacy here.

We keep your data for as long as necessary to meet the purposes of the activity in which you are requested to take part by your employer, with a maximum of 5 years. After this period, we will delete your data.

Only the people who are on the TimmerHaus payroll have access to your data.

Other people who receive your data (see above), will receive the documents by use of ShareFile. The data will be deleted 183 days after the upload.

Marketing

Our Company would like to send its clients information about research and services of ours that we think you might like.

If you have agreed to receive marketing, you may always opt out at a later date.

TimmerHaus keeps its privacy policy under regular review and places any updates on this web page. This privacy policy was last updated on 14th September 2022.
